Maintenance plans

Stop paying emergency prices for predictable wear

Gaskets, screens, burrs and filters run on a clock. A plan replaces them on schedule instead of waiting for a Saturday-morning outage. Every plan below is a starting shape — the exact visit count and rate are quoted per site, based on how many machines you run and how hard you run them.

Plan

Essential

One machine, steady but modest volume

Quarterly PM visit

  • One scheduled preventive maintenance visit every quarter
  • Standard scheduling window, same as a one-off service call
  • Full visit checklist — gaskets, screens, backflush, steam wand, filter check
  • Written condition report after every visit
  • Standard hourly labor rate on any repair between visits

Most requested

Priority

A busy single-location café running one bar hard

PM visit roughly every six weeks

  • Visits scheduled more often than quarterly, tuned to your actual volume
  • Priority scheduling ahead of non-plan service calls
  • Discounted hourly labor rate, on the visit and on any repair between visits
  • Water filter changes included in the visit, not billed separately
  • Written condition report and running service history after every visit

Plan

Multi-Site

Multiple locations or a high-volume account running several machines

Monthly to bi-monthly per site, set by volume

  • Visit frequency set per site — a busy bar can run monthly while a quieter one runs bi-monthly
  • Fastest response commitment on breakdown calls, across every location
  • The lowest hourly labor rate we offer
  • Water filter changes included at every visit
  • Equipment tracked by machine and by site, with full service history on request

Pricing is quoted per site based on machine count and volume — these are the shapes a plan gets built around, not a price list. Talk it through if you’re not sure which one fits.

Every visit, every tier

What actually happens on a PM visit

Most emergency calls are maintenance that got postponed. A PM visit replaces the parts that are on a known clock — gaskets, screens, filters, seals — and puts the machine back in spec before it starts costing you shots.

  • Group gasket and shower screen replacement
  • Full backflush and detergent cycle
  • Steam wand and valve service
  • Water filter change and log
  • Written condition report after every visit

Why bother

Scheduled labor beats emergency labor

An emergency call and a PM visit cost different amounts for reasons that have nothing to do with the wrench.

Unplanned breakdown

  • Call-out fee plus full hourly labor for a same-week or emergency dispatch
  • The register is down while you wait on scheduling, not just while the work happens
  • Parts get ordered after the diagnosis, sometimes meaning a second visit
  • Whatever failed usually put stress on something else nearby

Scheduled PM visit

  • Booked around your hours, at the plan's discounted labor rate
  • Wear parts replaced before they fail mid-shift, not after
  • One visit — the machine is already open and the parts are already on the truck
  • A written report, so small drift gets caught before it becomes a call-out

Read the fine print now

What a maintenance plan does not cover

Major component failure

A failed boiler, pump, control board or heating element is repair work — billed at your plan's labor rate, but scoped and quoted like any other breakdown, not covered by the visit itself.

Replacement parts

Routine wear items in the PM checklist are included. Anything beyond that — a pump, a burr set, a valve — is quoted before it's ordered, plan or no plan.

Water system hardware

Installing or replacing a softener, RO membrane or filtration housing is its own project, scoped separately from the PM visit that keeps the system running.

Contract questions

The fine print, answered

What term do maintenance plans run for?

Term length is set when your plan is quoted, based on machine count and how often we're visiting. Most accounts run month-to-month rather than locking into a multi-year contract.

How do I cancel?

Written notice cancels the plan. There is no long-term lock-in — the specifics of notice and timing are confirmed with you when the plan is set up, the same as the visit schedule and the rate.

What happens if a machine breaks between scheduled visits?

Plan accounts get priority scheduling ahead of non-plan calls, and the plan's discounted labor rate still applies. A PM plan lowers how often a machine breaks down — it does not replace emergency repair when something like a boiler or pump actually fails.

Are parts included in the plan?

Routine wear items covered by the visit — gaskets, screens, filters — are part of the scheduled service. Anything beyond that, such as a failed pump or a burr set, is quoted separately before it's ordered, plan or no plan.
